Communications Procedure Letter

This document briefly describes the procedure that Maryland Heritage uses to
best serve its partners in their construction project.
We believe that Maryland Heritage is not your “employee” and that you are not
our “customer”. Instead, we are partners in this journey, working together
toward a blue-chip finished project in an effective and efficient manner.
Probably the most important aspect of a successful project is relationship
building, and all relationships thrive when there are open lines of
communication. To best facilitate this process, Maryland Heritage subscribes to
a few simple procedures:
- We are always available: Should you have any questions
concerning the jobsite, construction procedures, subcontractors, deliveries,
scheduling, product inquiries, etc., don’t hesitate to contact us anytime.

- You will also be given cell phone numbers and email addresses of the salesperson and project manager assigned to your project.
- Production Meetings: Although cell phones and email
are great 21st century tools for rapid communication, nothing can replace
face-to-face meetings to discuss future schedules, change orders and product
selections. When dealing with potential conflicts and issues, it is by far the
most professional and mature way to better understand the other party’s point of
view and come to a mutual agreement. These meetings need only last as long as
necessary and will be set at a time most convenient to you, the client. The
first meeting will be held two weeks after the start of the project and
subsequent meeting dates/times will be set at the previous meeting. Meetings
should be weekly or every other week at a minimum.
- Continuous & Constant Updates: Whether through email or a quick phone call, our project managers will
be contacting you regarding scheduling updates or changes.
